When it comes to managing job postings in your Applicant Tracking System (ATS), it's important to understand the difference between Offline and Archive jobs. Here's a breakdown of what each term means and how they are used:


Offline Job:

  • An offline job is a job that is not currently active. 

  • It is still stored in the ATS, but it is not being processed or advertised. 
  • Offline jobs are typically used to save jobs for later, to hold jobs for specific candidates, or to pause jobs while they are being updated. 
  • Examples of offline jobs might include jobs that are on hold, jobs that are waiting to be approved, or jobs that are being saved for a future hiring event.

Archive Job:

  • An archive job is a job that has been completed and is no longer active. 
  • It is stored in the ATS for historical purposes. 
  • Archive jobs are used to track the performance of past jobs, to identify trends, and to learn from past mistakes. 
  • Examples of archive jobs might include jobs that have been closed due to lack of interest, jobs that have been filled, or jobs that have been cancelled.
  • When a job is archived, it will not appear in the job filter on the Applicant Reports page. However, data from the archived job will still be included in reports that contain all job data.


The main difference between offline and archive jobs is that archive jobs are considered to be complete, while offline jobs are not.

When a job is archived, it will not appear in the job filter on the Applicant Reports page. However, data from the archived job will still be included in reports that contain all job data. It just won't be selectable in the job filter. Currently, this is not the case for the Downloadable Reports page and you can still select an archived job in that job filter. However, in the future, archived jobs will also be removed from the job filter on the Downloadable Reports page.


Offline vs Archive Jobs: Billing


If your plan is based on the number of active jobs you have at any given time, bringing an offline job back online or creating a new job from scratch will still be billed as an active job for the month. It doesn't matter if it's a repost of an old job or a creation of the same one from scratch, it will still count towards your job plan.


Understanding the difference between offline and archive jobs can help you better manage your job postings in an ATS. Offline jobs are for jobs that are not currently active but may be in the future while Archive jobs are for historical purposes. By using these features effectively, you can reduce clutter and make it easier to find the information you need.
