When it comes to managing job postings in your Applicant Tracking System (ATS), it's important to understand the difference between Offline and Archived jobs. Below is a breakdown of what each term means and how they’re used.
Offline Job
An Offline job is a job that is not currently active.
It is still stored in your ATS but is not being processed or advertised.
Offline jobs are commonly used to:
- Save job listings for future use
- Hold jobs for specific candidates
- Pause jobs while updates or changes are being made
Examples of offline jobs may include:
- Jobs that are on hold
- Jobs pending approval
- Jobs being saved for an upcoming hiring event
Archived Job
An Archived job is a job that has been completed and is no longer active.
It is stored in the ATS for historical reference and data analysis.
Archived jobs are used to:
- Track the performance of past job postings
- Identify hiring trends
- Review past outcomes for improvement
Examples of archived jobs may include:
- Jobs that were filled
- Jobs canceled due to lack of interest
- Jobs that were closed or not pursued
Note: When a job is archived, it will not appear in the job filter on the Applicant Reports page. However, the data from that job will still be included in reports that contain all job data.
Offline vs. Archived Jobs in Reporting Tools
- Archived jobs do not appear in the job filter on the Applicant Reports page.
However, their data is still included in aggregated reports. - On the Downloadable Reports page, archived jobs can still be selected in the job filter—for now.
- In the future, archived jobs will also be removed from this job filter.
Offline vs. Archived Jobs and Billing
If your plan is based on the number of active jobs, please note:
- Bringing an offline job back online or
- Creating a new job from scratch
...will both count as active jobs for billing purposes.
It doesn’t matter whether the job is a repost or a duplicate of a previous one—it will still count toward your job limit for the month.
