Want to personalize the message applicants receive when they apply? You're in the right place.


Your account comes with a built-in application confirmation email template. It does the job, but we know you might want to add your own flair or create different messages for different roles. Here's how to do both!


1. Editing the Default Application Confirmation Template

This is the template that’s automatically sent to every applicant unless you say otherwise. You can't delete it (we like to keep some things safe!), but you can definitely make it your own.

Steps to Edit the Default Template:

  1. From the Dashboard, go to the main menu and select Account Details.

  2. Under the Template section, click Messages.

  3. Look for the template named Application Confirmation—it’ll be in bold.
    (Pro tip: Bold means it's a default, preloaded template.)

  4. Click Edit.

  5. Make any changes to the Subject Line and Body of the message.

    You can personalize it using these handy field names:

    • {{ full_name }}

    • {{ first_name }}

    • {{ applied_for }}

    • {{ applied_on }}

    • {{ job_code }}

    • {{ source }}

    • {{ company }}

    • {{ hiring_manager_name }}

  6. When you're happy with your edits, click Save Changes.

  7. Click the home icon to return to the dashboard.

  8. Find the job you want to use this with and click Edit, or start a new job.

  9. Scroll toward the bottom until you see the Email Confirmation dropdown.

  10. Check that your default template has been automatically selected.

  11. Don’t forget to click Publish & Continue to save all your hard work!


2. Creating a Custom Application Confirmation Template

Want different messages for different roles? We love that energy. You can create as many custom templates as you like—tailor them to job types, departments, or anything else that makes sense for your team.


Steps to Create a Custom Template:

  1. From the Dashboard, head to Account Details and then Messages under the Template section.

  2. Click Add a Template.

  3. Give your template a clear name—something like: Application Confirmation - [Job Title]

  4. Fill in the Subject Line and Body.

    Use these field names to add a personal touch:

    • {{ full_name }}

    • {{ first_name }}

    • {{ applied_for }}

    • {{ applied_on }}

    • {{ job_code }}

    • {{ source }}

    • {{ company }}

    • {{ hiring_manager_name }}

  5. Click Save Changes.

  6. Head back to the dashboard (home icon does the trick!).

  7. Locate your job and click Edit, or spin up a new one.

  8. Scroll down to the Email Confirmation section. 

  9. Select your new custom Application Confirmation Template

  10. If you're happy with using your new template, hit Publish & Continue to lock it all in.
